How to Sync Outlook Emails to Notion using Emon

The Problem with Managing Relationships in Notion
If you've ever tried to manage contacts or client relationships in Notion, you know the pain. You're constantly switching between Outlook and Notion, wondering "When did I last reach out to this person?" Or you tell yourself you'll update the pipeline, but after a week of manual copy-pasting, the database goes stale. The CRM you spent hours building becomes useless.
We built Emon because we were tired of this cycle. We were tired of the tedious data entry and wanted our emails to just appear in Notion without hours per week of effort.
That's exactly what Emon does.
What is Emon?
Emon syncs your Outlook inbox to a Notion database automatically. Every email you send or receive shows up in Notion within 15 seconds, organized by contact. No custom or expensive workflows to maintain. No manual entry. No per-email fees.
We purposefully built Emon to be simple and without feature bloat, so you can add your own custom features without needing a full time employee to teach you how to use your own CRM.
What makes Emon different?
- Real-time sync — Emails appear in Notion within 15 seconds of hitting your inbox
- Historical import — Pull in your old emails with one click, not just new ones
- Built for Notion — We provide a ready-made template that works out of the box
- No complexity — Setup takes under 5 minutes, and there's nothing to maintain
- Customizability — Add columns, link other databases, or find other creative ways to integrate Emon into your workspace
Whether you're a freelancer tracking client conversations, a founder managing investor relationships, or a sales team—Emon keeps your contact history current without the headache.
Getting Started (5 Minutes)
All you need is a Notion account and an Outlook account.
- Choose your tier — Hit Get Started on our homepage. There's a free-forever tier if you want to test it out.
- Connect Outlook — Log in with Microsoft OAuth for quick and secure access.
- Authorize Notion — Select "Use a template provided by the developer" when prompted. We've already built a database for you.
- Done — You'll land on your dashboard with confirmation that everything is connected.
No credit card required for the free tier. You can upgrade later if you need more capacity.
Core Feature 1: Real-Time Sync
Once connected, Emon runs in the background. Every email you send or receive automatically creates an entry in your Notion database with the contact name, email address, last contact date, subject line, sneak peak of the email, and the full email content in each contacts’ page.
Try it yourself:
- Open your new "Personal Emon Workspace" in Notion
- Send yourself a test email from a different address
- Watch it appear in Notion within 15 seconds of hitting your inbox
That's it. No triggers to configure, no workflows to build. It just works.
Core Feature 2: Historical Import
This is the feature that we think you’ll like the most. Most email integrations only capture new emails going forward. But what about the emails in your inbox from a month ago, or a year ago?
Emon lets you import your email history with one click.
- Go to your Emon Dashboard
- Click the green "Sync" button
- Watch your past emails populate in Notion in real-time
What You Can Do Next
Your Emon workspace is a normal Notion database. You can customize it however you want:
- Add properties like "Priority," "Status," or "Assigned To"
- Link it to other databases (sales pipeline, projects, companies) using Notion relations
- Create filtered views for specific clients or time periods
- Make the workspace public to your team for collaborative contact management
One thing to note: Don't rename, delete, or change the type of the default columns—it'll break the sync. If you don't need a column, just hide it.
Try It Free
Emon has a free-forever tier with no credit card required. If it saves you even 30 minutes a week on manual data entry, it's worth the five minutes to set up.
